How package tracking works, from label to your door
Every scan your parcel gets, explained: label creation, sorting hubs, carrier handoffs, silent legs, and why some updates appear hours late.
Type a number into a tracker and you see a box moving across the world. Underneath that map is a surprisingly simple system: a chain of barcode scans, each one uploaded to a database. Understanding where scans happen, and where they do not, explains almost every confusing tracking situation.
Step 1: The label is created
When a seller buys postage, the carrier's system generates the tracking number and the first event: "label created", "shipping information received" or "electronic data received". At this point no parcel has physically entered the carrier's network. Only data has.
This distinction resolves the most common tracking confusion. A number that shows "label created" for three days is not stuck: the seller has not shipped yet. High-volume sellers print labels in batches, sometimes days before a truck collects the parcels. Reading this status correctly tells you whether your complaint belongs with the carrier or with the shop. Step 2: Acceptance and the first physical scan
The tracking number goes live when a carrier employee or machine scans the actual parcel for the first time: at a post office counter, a drop box collection, a pickup at the seller's warehouse. The gap between label creation and this first scan is the window buyers most often misread, and it is where most "fake tracking number" disputes come from.
Step 3: Sorting hubs do most of the work
Parcels travel between sorting centers, and each pass through one generates a scan. Modern hubs run automated conveyors that move thousands of parcels an hour; optical cameras photograph the label, the system routes the parcel and logs it. "Arrived at facility", "processed at sorting center" and "departed facility" all describe this stage.
Sorting scans are also where errors happen. High-speed cameras blur, labels get covered by tape or torn, and a parcel that fails to read skips a scan but keeps moving. A silent day between two hub scans usually means a missed read; the parcel kept moving unnoticed.
Step 4: Line-haul, the silent stretch
Between distant hubs the parcel travels as freight: a truck trailer, a rail container, a cargo flight. The defining feature of line-haul is that nobody opens the trailer in between. A parcel can ride from Shenzhen to Los Angeles or from Madrid to Warsaw with zero scans for a week, and that is the correct, healthy behavior.
If your tracking shows "in transit" with no updates for several days, check the geography before worrying. A scan in one state followed by nothing while it crosses the continent is normal. Silence in the same city for a week is not.
Step 5: Handoffs between carriers
This is where international tracking gets genuinely complicated. A cheap parcel from a Chinese marketplace might move like this:
- The seller's local courier collects it
- A consolidator groups it with thousands of other parcels
- China Post or an airline carries it to your country
- Customs processes it, a scan-free government stage where no carrier event exists
- Your national postal service or a local courier delivers it
Each handoff can involve a new, linked tracking number. The origin end often knows the destination number but does not display it clearly; the destination carrier only publishes events from the moment it first scans the parcel. Step 6: Last mile and the delivery scan
The final depot loads the parcel onto a delivery vehicle, generating the "out for delivery" scan, and the driver scans "delivered" at the door. Many carriers now attach GPS coordinates or a photo, which turns the final status from a claim into evidence.
Why tracking sometimes appears to lie
Nearly every "impossible" tracking situation has a mundane cause:
- Skipped scans: a label that fails to read keeps moving silently.
- Batch uploads: some carriers collect scans on handheld devices and upload them in one batch hours later, so five events appear at once, occasionally out of order.
- Duplicate numbers: old numbers get recycled by some postal services after enough time passes, and very rarely a new label collides with a live one.
- Forwarded scans: the parcel moves under a linked number while the original number goes quiet.
How to use this in practice
The whole system reduces to a rule of thumb. Silence makes sense only in three places: between label creation and first scan (shipper's delay), during line-haul (nobody scans freight), and during customs (a government stage with no carrier scans). Silence anywhere else, at a hub, after "out for delivery", or between two scans in the same city, deserves action after a few working days for domestic parcels and one to two weeks for international ones. Why does my tracking number not work on the carrier's own site?

Can tracking be forged?
The data can, the scans cannot. Fraudulent sellers create valid numbers and never ship, producing a tracking page that stops at "label created". That is why the first physical scan is the one that matters.
Do all parcels get scanned at every point?
No. Economy services scan at fewer points than express ones, and some legs (especially sea and road freight) produce no intermediate scans at all. Fewer scans means cheaper shipping; the parcel is fine.
